Admission Procedure and Policy

Aim
• To ensure that St.Gregory’s High School’s Preschool is accessible to all sections of the community, through open, fair and clearly communicated procedures.
• To promote smooth and stress-free transitions to the setting, ensuring both children and parents are happy.

Offering Places
Where services are over-subscribed, as is often the case with Pre-school, the following priority for admissions has been agreed:

1. Birth Order
2. On a first come first serve basis.

Places will always be confirmed by a member of staff by telephone.
Method
• After registration, parents are interviewed by Preschool Coordinator and the child is assessed by the teachers.
• The child must be accompanied by at least one parent on the date of the interview/assessment.
• We do not entertain anyone other than the parents of an applicant at the time of the interview.
• If parents are unable to attend the appointed interview/assessment, a new date must be obtained promptly.
• An interview /assessment may be scheduled twice, non- attendance will result in cancellation of the registration.

If admission is not granted into Preschool for any class between Reception and Prep II, the applicant will only be eligible to re-apply for admission.

At Prep level, the child will sit a written entry test of English, Mathematics and Urdu.

Application Status
Upon review of interview and assessment results, applicants receive a reply within 2 working days.

Admission Granted
The Admission manager will inform the parents if the applicant has been granted admission. Parents may then submit the admission fee in school’s Accounts department and then collect the fee bill from the Accounts office and deposit the amount in our designated bank.

Conditional Admission
Granted if an applicant is offered admission on a conditional basis, the parent/guardian must sign a letter of Conditional Admission. Conditions of admission vary from case to case dependent upon percentage of marks, exam results, behavioral conduct and more.

Appropriate settling in sessions
To start with we encourage parents to visit with their child until they are completely settled. The first two of these sessions allows for parents to stay with their child in order to allow their child an informal introduction to the preschool and for parents and teachers to have time to communicate about specific needs and personalities. A ‘New Child Information Record’ is also completed in advance of attending Pre-school to ensure that staff is aware of all issues pertaining to the child.

Subsequent settling in sessions will be organized to meet the needs of the specific child, this process usually takes up to 2 weeks, but it is important that child, parent and preschool are happy before a child attends their full sessions. Teachers keep records of children’s progress during this period.

The settling process is viewed as an essential part of ensuring children have a positive time at preschool and we will be flexible in extending this period and offering families additional support if needed.

Pre-School
Registration, Admissions & Settling in Policy

Statement of Intent
St.Gregory’s High School aims to make their Pre-school accessible to and inclusive of children and families from all sections of the local community through open and fair procedures.

Our Pre-school is for young children, who are eligible for Early Education, we accept children from the youngest being 2.5 months and the oldest being 5+ years.

This is not a strict age bracket.

Registration Form Completion
Registration forms may be collected from the Admissions Office against a deposit of Rs. 1200. Relatives may also pick up a form on behalf of parents. Completed forms are to be submitted with the following documents attached:

• Copy of CNIC of (both) Parents
• Transfer Certificate from the last school
• Copy of the last academic report
• NADRA Birth certificate and NADRA family certificate
• Passport size photograph of the child (04)
• Family photograph
• Health certificate; specifying blood group or any special medical needs
• Both parent’s CV

Conditions of Registration
• Registration does not guarantee admission.
• All information and relevant documents provided must be true and accurate.
• Any false information provided will render the registration/admission cancelled.
• Incomplete registration applications (forms) will not be accepted.

General Tution and Fee Policy


All Students, Parent and Guardian must observe the following rules and regulations as outlined. Tuition fee is payable in Pak Rupees, for the Academic year is as follows:

• One-time Registration, Admission fee, Annual charges (non-refundable) and security deposit (refundable) will be paid by all new students at the time of admission.

• The Supplies amount, mobile application and copies amount shall be charged annually.

• The Monthly Tuition fee cut-off date is 10th of every calendar month.

• Tuition Fee Bills are normally issued with a “DUE DATE” of 05 days. After the expiry of “DUE DATE,” the Fee bill can be deposited with the late fee fine which is charged, till the expiry of “VALIDITY DATE” which is normally 20 days from the expiry of the “DUE DATE”. After the expiry of the “VALIDITY DATE,” the Fee Bill shall not be accepted at the local branch of the bank. The new Fee Bill will only be issued with an additional fine of Rs. 250/- per Fee Bill.

• Parent/Guardian defaulting on fees payment runs the risk of making their children liable to being struck off the school roll. In such cases, re-admission is subject and repayment of both the admission fee and security deposit at the prevailing rates.

• Fee Bills are issued latest by 31st of each month prior to the billing month and sent home through TCS. It is the responsibility of the parents to inquire from the School’s office if they have not received the fee bill by the 5th of the billing month. All dues are paid directly to the SGHS specified branch of a local bank. The payment ‘due date’ and the fee bill ‘validity date’ is marked on the fee bill, and late-fee is collected by the bank at the time of payment. The late payment charges will not be waived nor reduced in any circumstances.

• Registration fee, admission Fee, Annual Charges are non-refundable under any circumstances. No refunds for any payments will be made if student is suspended on disciplinary grounds or the student is found in breach of the student code of conduct, and parent or guardian will be liable for paying up for any damages caused to the school property as per the student disciplinary procedure or as determined by the school management.

• For returning students, all previous dues including any fines must have been cleared. The school reserves the right to hold student’s progress reports, transcripts, examination entries, school leaving and other certificates if the dues have not been cleared.

• All parents and guardians responsible for guaranteeing payment of school dues will read and sign an undertaking for compliance with the SGHS policies. The School reserves the right to revise and make alterations to its policies, rules and fees at any point in time without any prior notice.

• If the school is closed due to the emergency, war, epidemic, floods, and earthquake or for any other reason on National, Provisional, District or AJK State Government order for any length of time, parent / guardians shall pay the fees with regularity by 10th of each month. The salaries to the teaching staff, faculty, administrative and support staff etc. have to be paid during the closed period.
